A few weeks ago, one of our customers reached out to us, complaining that one of their main manual HR processes was causing IT a lot of trouble. They said automating the process was a real headache, and they had to keep making adjustments with placeholders and such.
This customer is a Telecom company with a 20-member IT team and a 10-member HR team, serving around 500 employees in a specific region.
When new employees join the organization, HR sends them welcome packets along with the offer letters. These employees are initially considered temporary, with a probation period of 3-4 months. Once their probation period ends, HR has to send them a new letter, changing their employment status from temporary to permanent.
That’s problem #1.
And oftentimes, these employees also need documents for their banking or financial needs, such as pay slips and employment letters, from HR or Payroll.
Getting these documents involves a lot of manual work, so HR and Payroll approached the IT team to help automate the process. IT tried using no-code/low-code platforms, but still couldn’t fully automate it.
Problem #2.
That’s when this customer came to me, asking if we could use Generative AI to solve this issue. I was thrilled they wanted to tackle this problem.
I could personally relate to the issue and feel their pain, because every month, I have to ask my HR or Payroll team to send me my pay slip so I can submit it for my taxation. I also need my pay statements for my home mortgage reports. It’s time-consuming and frustrating to ask HR every time and navigate our payroll system, and I wanted a better solution.
I discussed it with our Atomicwork product manager, Shankar, and our engineers, Anish and Nitish, and they were on board to build something better. They explored some Document Generation models and payroll systems, and voila, Atom was ready to handle these repetitive tasks.

All employee information is automatically synced between Atomicwork, your HRMS, and Azure AD. This means that employees don’t have to do anything except ask Atom for what they need and it shall be taken care of.
I just have to fill in the form, and even the values are pre-filled because Atom already knows my name, my job title, my employee ID, and more. There’s no need for me to repeat anything; Atom knows me well.
The request gets logged and sent for manager approval.
Atom sends the request to my manager on Teams.
And just like that, Atom sends me an update that the document is on its way.
And done – it just took two minutes for me to get the letter.
In the past, it used to take me two days to get my manager’s approval for a simple request like this and have it processed by my HR or payroll team.
This is a thing of the past, thanks to Atom.
